Sri Lanka Luxe Trails is a Sri Lankan travel company registered with the Sri Lanka Tourism Development Authority, the official governing body for tourism in Sri Lanka. The planning, execution, and organization of tours are carried out by Sri Lanka Luxe Trails on behalf of guests and travel partners. The term “Sri Lanka Luxe Trails” in these Booking Terms and Conditions refers to Sri Lanka Luxe Trails.

Confirmation of Booking

Your booking is confirmed and a contract comes into existence when Sri Lanka Luxe Trails issues written confirmation after receipt of the applicable deposit. Please review your confirmation carefully and immediately notify your Tour executive of any incorrect or incomplete information. All guest names must exactly match those stated in the passport.

For all bookings, a 30% is required as the advance payment to confirm reservations. A final tour confirmation will be issued within 48hrs once all arrangements are finalized. The balance payment must be settled 30 days prior to tour starting date. Payment of the deposit signifies acceptance of these booking terms and conditions.

Cancellations

1. a) Cancellation by Sri Lanka Luxe Trails

Cancellation Policy

Notes:

• An initial payment 30% is required at the time of booking
• Bookings made within 30 days prior to arrival are subject to 100% full payment for  confirmation
• All bank transfer charges/ card processing fees inclusive tax must be borne by the client
• There are no hidden charges such as postage or booking fees
• Exchange rates are based on Central Bank of Sri Lanka rates at the time of booking and are not subject to later A 30% deposit is required at the time of booking to secure your reservation. This amount is generally non-refundable.

• No-shows are not eligible for any refund
• Airfare and visa charges are non-refundable and are handled in accordance with the respective airline and embassy policies.

Change in Itineraries

1. a) Changes by Sri Lanka Luxe Trails

Changes will only be made in unavoidable circumstances. Any modifications will reflect the original itinerary’s intent and quality. If emergency accommodation changes are required, appropriate adjustments will be made accordingly

1. b) Changes Requested by Client

Sri Lanka Luxe Trails offers flexibility where possible. Any requested changes after itinerary finalization may incur additional costs, which will be communicated in advance.

1. c) Information Provided by Sri Lanka Luxe Trails

We strive for accuracy in all information provided. Temporary local factors such as maintenance, power outages, or seasonal closures may affect advertised services. Opinions shared are subjective and informational. 

1. d) Information Provided by Client

All information supplied by the client must be accurate. Personal data is handled confidentially and used strictly for booking purposes in accordance with our anti-fraud and data protection policies.

Customer Care & Complaints

Any issues must be reported immediately to the relevant service provider and our ground representatives. If unresolved, Sri Lanka Luxe Trails must be notified within 24 hours via email to facilitate resolution. Failure to follow this process may limit liability or compensation.

Travel Essentials Checklist

• Confirm flight times upon ticket receipt
• Inform us of any airline schedule changes
• Ensure passports, visas, insurance, driving licenses, and currency are valid and arranged

Special Requests

Special requests must be communicated at the time of booking and confirmed by email. While we endeavor to accommodate them, fulfillment cannot be guaranteed and does not form part of the contract.

Force Majeure

Sri Lanka Luxe Trails shall not be liable for any loss, injury, delay, or failure to perform due to circumstances beyond reasonable control, including but not limited to natural disasters, political unrest, acts of terrorism, strikes, extreme weather, or government actions.

Independent Travel

Where only partial services are booked through Sri Lanka Luxe Trails, we are not responsible for independently arranged components such as transport/excursions / accommodation.

Insurance

All travelers must hold valid travel insurance covering the entire duration of the tour and intended activities.

Medical & Fitness Requirements

Guests must assess their own fitness for travel and consult medical professionals as required. Certain travelers may be required to complete a Tour Suitability Form, including:

• Persons with medical conditions
• Travelers aged 70 or above
• Pregnant travelers (over 24 weeks may be refused travel)

Liability & Negligence

Liability is limited to incidents caused directly by proven negligence of Sri Lanka Luxe Trails or its suppliers, where all services are arranged by us.

Personal Loss or Injury

In the event of loss, injury, or illness, Sri Lanka Luxe Trails will offer reasonable assistance in coordination with your travel insurance provider.

Price Guarantee

No surcharges will apply except due to government-imposed changes. Exchange rate fluctuations will not result in additional charges.

Accommodation

Confirmed accommodations cannot be changed once booked. Any requested changes will be subject to availability and additional costs borne by the client.
